Manual File Import Instructions

Importing Accounts, Courses, and Demographics through Manual File Imports

A manual import process is available to do one-off, small, corrective imports into our systems. Manual imports should not be considered a mechanism for prolonged, regular data importing. 

Imports that are manually imported need to be less than 4 megabytes.

To import Account information manually, please follow these steps:

  1. Log into your institutions Data Management site.
  2. Click on the Accounts link under Import Data.
  3. Use the Accounts template found here to format your data correctly.
  4. Once the file is properly formatted and saved as .CSV file, click the Select button and select your Accounts file.
  5. Click the Upload File button.
  6. Check the Import History area at the bottom of the screen to be sure there were no Problem Rows in your file.  If there were problem rows review them and re-import those rows.

To import Courses information manually, please follow these steps:

  1. Log into your institutions Data Management site.
  2. Click on the Courses link under Import Data.
  3. Use the templates found here to format your data correctly.
  4. Once the files are properly formatted and saved as .CSV files, click the Data Type dropdown button and select which file you would like to import.
  5. Click the Select button and choose the correct .CSV file.
  6. Click the Upload File button.
  7. Check the Import History area at the bottom of the screen to be sure there were no Problem Rows in your file.  If there were problem rows review them and re-import those rows.
  8. Repeat this process for each of the Courses files you need to import.  As a reminder these files should be imported in the order they are shown in the Core Data Dictionary.

To import Demographics information manually, please follow these steps:

  1. Log into your Institutions Data Management site.
  2. Click on the Demographics link under Import Data.
  3. Use the student and faculty templates found here to format your data correctly.
  4. Once the files are properly formatted and saved as .CSV files, click the Position drop down and select your student or faculty demographic file.
  5. Click the Select button and choose the correct .CSV file.
  6. Click the Upload File button.
  7. Check the Import History area at the bottom of the screen to be sure there were no Problem Rows in your file.  If there were problem rows review them and re-import those rows.

*It is suggested that all demographics imports should be a complete "picture" of the user every single time. Any time there is a blank demographic field, we will assume that the previous value is still relevant or correct and maintain that data.
